How much does a Power BI consultant cost?

A Power BI estimate needs to price the data pipeline, the shared business model, and the report surface separately. The dashboard can be the cheap part; getting reliable, agreed numbers underneath it can take more work. HDS publishes no pricing figures. We scope the sources and definitions before quoting, so the estimate includes the work that makes the report usable.

01 · LAYERS

What you are actually buying

Getting the data into a usable place. The pipeline extracts records from operational systems, handles their different formats, and makes them available for reporting. The scope includes how updates arrive, how failures become visible, and what happens when a record changes after it was first collected. A one-time export and a maintained reporting feed are different deliverables.

Agreeing what the data means. The semantic model connects the records and defines the measures. It is where the business settles what counts as an active opportunity, which date closes a period, and how a project relates to revenue and cost. That agreement needs an owner as well as an implementation. A measure somebody cannot explain is difficult to trust even when its arithmetic is correct.

Building the report people see. Pages, filters, comparisons, and useful detail belong here. Their purpose is to help a person answer a question without rebuilding the calculation in a spreadsheet. This is the visible layer, which makes it the easiest one to imagine when requesting a quote. Check that the proposed scope also covers the layers underneath it.

The data platforms and analytics practice works across that complete path. An estimate should make clear which parts already exist and which parts need to be built or repaired.

02 · DRIVERS

What makes that work larger or smaller

Source systems and access. A documented, accessible source is a different starting point from scattered exports or a vendor API that needs special handling. Name each source and check what access the business actually has before assuming its records can be collected reliably.

Identity across systems. If CRM and accounting disagree on what a customer is, the work includes matching those records. A shared name may hide separate legal entities; different names may represent the same account. Those cases need business decisions, not just a join between columns.

History and disputed definitions. Reconstructing a past state is harder when the source only holds its current value. Conflicting definitions also take time to resolve. Agree what history matters, what can actually be recovered, and which owner can settle a disagreement about a measure.

Those deliverables describe why a dashboard-only estimate would have missed part of the job. CRM, project management, and accounting had to support the same view of the business before the visual reporting could be useful.

03 · VALUE

The cost of a report nobody opens

A polished dashboard can still leave a manager reaching for the old spreadsheet. That makes adoption a scoping question. Before choosing the visuals, identify the person, the decision, and the moment when the answer is needed. Then test whether the proposed report would actually change what that person does.

For the concrete contractor, the CEO, the President of Concrete and the COO open the dashboards every business day. That is evidence of a report entering the working routine. The engagement connected sales activity and project operations so leadership could see pipeline-to-project-margin in one view. For your project, choose acceptance questions a user can answer: Can I trace this result to the relevant records? Does it use the definition we agreed? Can I see when the data was refreshed? Can I act on it without asking somebody to reconstruct the number? A screenshot cannot establish those things. Reviewing real decisions during the build helps expose missing work while it can still be addressed in the scope.

04 · PLATFORM

Licensing is not the project

Microsoft licensing is a separate platform bill from HDS consulting. Power BI has per-user licensing and capacity-based options; what people can publish, share, or consume depends on that arrangement. Microsoft's Power BI licensing documentation explains the current distinctions. No license prices are quoted here.

Buying the platform does not build the pipeline, reconcile customer records, agree a margin definition, or design the report. Likewise, a development estimate should not imply that Microsoft's ongoing charges are included. Keeping those items separate makes it possible to understand what you own, what you subscribe to, and what ongoing work you have asked HDS to provide.

Check the licensing already in your organization before choosing a plan. The people who create reports and the people who read them may have different requirements. Establish the intended sharing arrangement during scoping so a completed report is not waiting on an unresolved access decision.

Nashville and Middle Tennessee

HDS delivers remotely from Clarksville across Middle Tennessee and has no Nashville office. A reporting estimate follows the state of the sources and the decisions the model needs to support. The city name does not tell us whether those sources agree.

Questions before requesting a Power BI estimate

Can you quote from a screenshot of the dashboard we want?

A screenshot helps describe the report surface, but it does not show whether the data exists or agrees across systems. A useful quote also needs the source systems, representative records, the business definitions, and the people who will use the result. Otherwise the most uncertain part of the engagement is left out of the estimate.

Will reusing our current reports reduce the work?

It can, when their queries, model, and measures are sound. Reusing a visual over a broken definition does not remove the underlying repair. Existing reports are useful evidence either way: they show what people ask for, which numbers they question, and where a working starting point might already exist.

Do Power BI licenses pay for building the reports?

No. Microsoft licensing gives you rights to use platform features under the selected plan. It does not include HDS consulting, data integration, business definitions, or report development. The estimate should distinguish that platform bill from implementation and from any ongoing support you agree to.

What should we send to get an estimate?

Start with the decision the report should support, the systems that hold the relevant records, and an example of the reporting you use now. Note any numbers that people already dispute. You do not need to send credentials or confidential source data with an initial inquiry; access can be arranged after the scope is understood.
