How much does custom software cost?

Three things set the number: how much scope is in the first phase, how many outside systems it has to talk to, and what condition the existing data is in. A real figure needs a short scoping conversation, and that conversation produces a written scope, the phases it breaks into, and a price for the first one.

01 · DRIVERS

What moves the number

Scope in the first phase. The single biggest lever, and the one most under your control. One painful process replaced properly costs a fraction of a platform covering every department, and it can be running while the rest is still being decided.

Integration surface. Every outside system the software has to talk to pushes the number up, and vendor APIs vary enormously in how much work they demand. Some are pleasant. Others paginate inconsistently, encode fields as opaque integer picklists, and return success codes on authentication failures. That difference is real work, and it is knowable before anyone commits to a price.

Condition of the existing data. Migrating records that a person has been maintaining by hand for years is a bigger job than migrating records a system has been enforcing. Inconsistent formats, duplicate entities, and rules that live in somebody's memory rather than in the file all move the estimate.

Access control and compliance. Who may see what, and whether the answer has to be defensible to somebody outside the business, changes the shape of the build. Role-based access and a full audit trail per event are ordinary requirements in regulated work, and they are cheaper designed in than retrofitted.

02 · BOUNDED

What a smaller build looks like

The bounded end of the work is a single process, one clear data model, and a small number of people using it. A spreadsheet that has grown past what a spreadsheet can hold is the classic shape: the tabs are the schema, the formulas are the rules, and the pain is that reconciling one record means opening a dozen of them.

A build like that has one system of record, a handful of screens, rules applied consistently instead of by hand, and history you can query. It usually touches one or no outside systems. It is the shape most likely to be running in production while the rest of the roadmap is still a conversation, and it is the right place to start if you are not certain yet how far this should go.

03 · PLATFORM

What a platform looks like

The upper end is multi-tenant, which means several customers or several locations share one system and access control has to be genuinely enforced rather than implied by the interface. Add a real integration surface, a migration off whatever came before, and an audit trail that has to satisfy somebody outside the business, and the work multiplies in every direction at once.

Platforms of that shape are not one phase. They are a sequence, and the discipline that keeps them affordable is refusing to build the whole thing before any of it is in use. The first phase still ships early and still earns its keep; the difference is that there are more phases behind it and the architecture has to anticipate them.

04 · METHOD

How HDS structures an engagement

Work is scoped in phases with a price agreed per phase, rather than an open-ended hourly meter or a single number covering a year of unknowns. You know what the next phase costs before it starts, and the phase after it is scoped using everything the previous one taught both sides.

One principal is accountable for the engagement end to end. Nothing is relayed through an account manager or handed to a subcontracted team, which is the usual place where a quoted number and a delivered result stop resembling each other.

05 · REGION

Cost questions

Why is there no price range on this page?

Because a range wide enough to be honest is too wide to be useful, and a range narrow enough to be useful would be a guess about your project made before seeing it. Two builds that sound identical in a sentence can differ several times over once the integration surface and the state of the data are known. A scoping conversation produces a real number faster than a published band would.

What do I get out of a scoping conversation?

A written scope of what would be built, the phases it breaks into, what is explicitly out, and a price for the first phase. If the honest answer is that an off-the-shelf product solves this better, you get told that instead, which costs you one conversation rather than a project.

Is it cheaper to start smaller?

Usually, and it is also lower risk. A bounded first phase that replaces one painful process puts working software in front of you early and lets the rest of the scope be shaped against something real. The alternative, specifying everything up front, front-loads every decision to the point where you know least about the system.

What makes a project cost more than expected?

Almost always the data and the integrations rather than the screens. Migrating years of records that were maintained by hand, or talking to a vendor platform whose API paginates inconsistently and returns success codes on authentication failures, is where estimates move. Both are knowable up front, which is what scoping is for.
